How to access a deposit box shared with me?

Read on to find out how to manage a deposit box in the Shared Space.

When you add an internal recipient to your deposit box, i.e. an employee of your company who also uses LockTransfer, this person will be able to consult and manage your deposit box from his LockSelf interface, on his Shared Space.

Details of the deposit box

When a coworker adds you as a deposit box recipient, this deposit box will appear in your Shared Space, in the deposit box tab.

In this tab, you will be able to access all the deposit boxes your coworkers have shared with you.

When you select one of the deposit box, you will be able to see its details :  

  • The number of files contained in the deposit box ;
  • The type of deposit box (partitioned or not) ;
  • The email address of the deposit box creator ;
  • The creation date ;
  • The expiration date (if an expiration date was set when the deposit box was created) ;
  • The description of the deposit box (if any)
  • The list of other recipients (if any); 

You will also be able to consult the deposit box minutes to see the deposit box history.

Consult the content of the deposit box

  • Step 1 : Select the deposit box and in the information panel on the right, click on « See ».

Step 2 : On the window that appears, two tabs are available.

    • View files : you will find the list of files contained in the deposit box, uploaded by you or the recipients. 

🚨 By selecting a file, you will be able to:

  • See its details such as its name, its weight, the email of the person who uploaded it, the upload date and time and the description (if any)
  • Download the file (you can download several at the same time via the multiple selection)

    • Add files : you will be able to deposit new files by dragging and dropping them or by selecting them on your computer. Then click on « Send » to add them :

Manage the deposit box as a manager

As explained above, when one of your collaborators gives you access to a deposit box, you will be able to :

  • Consult the parameters of the deposit box (creation date, creator's name, list of recipients, etc.)
  • Consult the minutes
  • Download the documents contained in the deposit box
  • Add new documents to the deposit box

If the deposit box creator wants to give you more rights on a deposit box, he can appoint you as a deposit box Manager. You will then have more permissions on this deposit box, namely :

  • Delete documents in the deposit box
  • Add or remove recipients
  • Change the settings of the deposit box (name, status, closing date, description)
  • Manage notification preferences (downloads, uploads)
  • Receive notifications (downloads, uploads) if the creator of the box has activated these options at the time of creation
  • Appoint other Managers for this deposit box 

Delete documents in the deposit box

  • Step 1 : Select the deposit box and in the information panel on the right, click on « View »

  • Step 2 : Select the desired file(s) and click on « Delete » (you can delete several at the same time via the multiple selection)

Add or delete recipients

  • Step 1 : Select the deposit box and in the information panel on the right, click on « Modify » next to the list of recipients

  • Step 2 :
    • To add a recipient, enter his email address in the search bar
    • To remove a recipient, select it and click on « Remove ».

Modify the settings of the deposit box (name, status, closing date, description)

When you select a deposit box, from the information panel on the right, you will be able, in addition to accessing the information about the box, to modify the settings defined by the creator of the deposit box when it was sent.

By clicking on « Modify » at the bottom right of the information panel, you will be able to :

  • Add, modify or delete the closing date of the deposit box
  • Add, modify or delete the deposit box description

Also, directly from the information panel, you will be able to modify the status of the deposit box, i.e. whether it is activated or deactivated (a deactivated deposit box is no longer accessible to recipients). You will be able to deactivate and reactivate it as needed by checking/unchecking the option.

Manage notification preferences (downloads, deposits)

When you select a deposit box, from the information panel on the right, you will be able to modify the notification settings : 

  • Uploads monitoring : you will receive an email notification when a recipient uploads documents from the deposit box (the creator of the deposit box and the other managers will also receive it)
    • it will be possible to deactivate and reactivate this monitoring as needed by checking/unchecking the option
  • Deposit monitoring : you will receive an email notification when a recipient deposits documents in the deposit box (the creator of the deposit box and the other managers will also receive it)
    • it will be possible to deactivate and reactivate this monitoring as needed by checking/unchecking the option

Appoint other deposit box managers 

  • Step 1 : Select the deposit box and in the information panel on the right, click on « Modify » next to the list of recipients

  • Step 2 : Select the desired recipient and click on « Promote as deposit box manager ».

To remove the status of deposit box manager from an internal recipient, you can proceed in the same way as in step 1, select the desired recipient and click on « Remove manager status ».
