LockPass Data migration : from the parent organization to a sub-organisation

Read on to find out how to migrate passwords from one organization to another on LockPass.

Only the Administrator account will be able to migrate passwords.

When creating a sub-organization, you will be able to migrate the content of the main organization to this new sub-organization.

To do this, you will have to reincorporate the different items of the main organization, namely its data, the Shared Spaces tree and finally the users.

Migration of data from one organization to another requires the following : 

  • Have access to the parent organization's Administrator account
  • Have identified the user account that will be named as the Administrator of the sub-organization
  • Have identified the tree structure of the Shared Spaces and the desired subcategories
  • Have identified the passwords that will be migrated to the sub-organization

Creation of the sub-organization

To create the sub-organization, log in with the Administrator account and consult the dedicated article on the subject : How to create a sub-organisation ?

Once the sub-organization has been created, you will be able to see it in the Management tab :

🚨Before starting the operations, you can create a specific account, which will be the Administrator of the sub-organization, which will be used to perform these migration steps. You can use this account to create the Shared Spaces and then import the data. Once the operations are completed, you can then change the Aadministrator account of this sub-organization.

Once you have created the sub-organization, proceed to the next step.

Creation of the Shared Spaces tree structure

The second step will be to create your tree of Shared Spaces in the sub-organization, by logging in with the sub-organization's Administrator account.

If your tree structure is not too big and simple to create, you can create your Shared Spaces and subcategories by hand. To do so, please refer to the dedicated articles on the subject : How to create Shared Spaces ? and How to create a category in a Shared Space ?

If you want to create a large tree structure that is difficult to create manually, you can import it directly, in one go. You can transfer the desired tree structure to a CSV file, which you can then import. To do this, see the dedicated article on the subject : How to import Shared Spaces ?

🚨If you want to import an already existing tree structure (the one of the parent organization for example), you will be able to do it from the shared passwords export. Indeed, the shared passwords export file contains a "Category/SubCategory" column, with the Shared Spaces and subcategories where each password is stored: to save time, you can therefore copy this column and then paste it into the Shared Spaces import file.

  • Step 1 : In the desired organization, with the Administrator account, export your shared passwords, then copy column E (the "Category/SubCategory" column)

  • Step 2 : Paste the desired content into the Shared Spaces import file

  • Step 3 :Finalize your import file (making sure to remove duplicate categories) and then import it into the sub-organization (with the Administrator account of this sub-organization)

Once the Shared Spaces tree for the new sub-organization is created, proceed to the next step.

Passwords import

The third step will be to import the passwords from the parent organization into the new sub-organization.

First, log in with the Administrator account of the parent organization and export the passwords of the Shared Spaces. To do so, please read the dedicated article on the subject : How to export shared passwords ?

From the recovered CSV file, sort the passwords in order to keep only those you want to import in the new sub-organization, deleting those you don't want to keep.

🚨When exporting the shared password (through a global export in the Parameters) the passwords remain in the Shared Spaces on LockPass, so anything you do to the CSV file will not involve any data loss.

Then, log in with the Administrator account of the new sub-organization and import your passwords using this CSV file. To do so, please read the dedicated article on the subject : How to import shared passwords ?

Once the passwords have been imported into the new sub-organization, proceed to the next step.

Move users

The last step of your migration will be to move your users from the parent organization to the new sub-organization, by logging in with the Administrator account of the parent organization. To do this, see the dedicated article on the subject : How to manage users ?

All data has now been successfully migrated from the old organization to the new one.

All you have to do now is to assign the users to the appropriate Shared Spaces and categories. Consult the following documentation if necessary : How to manage access to Shared Spaces?
