Cross-organization categories

Cross-organization categories • LockPass

How your vault is organized

Your LockPass vault is organized into two spaces: Personal, which holds your own categories, and Shared, which brings together every category shared with you.

All categories shared with you are now grouped in the Shared space, whichever organization shared them. Your visibility and your rights remain exactly the same as before: only the way you find and identify them changes.

Who is affected?

All LockPass users: Super Admins, Admins, Multi-Admins, Moderators, Category managers and standard users. The per-organization sub-level only appears if you have access to several organizations.

Moving between several organizations

If you have access to several organizations, the Shared space displays a sub-level for each organization:

  • Your current organization always appears first, marked with the “You” label.
  • The other organizations follow in alphabetical order.
  • When you sign in, the first organization in the list opens automatically. The others stay collapsed: expand them with a single click.

If you have access to a single organization, this sub-level is not displayed and you go straight to your shared categories.

Identifying where a category or password comes from

Every category and every password coming from another organization carries a visual indicator naming its organization of origin.

This indicator is visible:

  • in your vault's tree view;
  • in the list view of categories and passwords;
  • in detail panels.

You therefore know at a glance where an item comes from, without having to switch organization.

Managing access to a shared category

Administrators, moderators and category managers will find, in a category's access management, the list of users and groups with, for each one:

  • their role;
  • their first and last name;
  • their email address;
  • their organization.

To open access management for a category:

  1. Click the relevant category.
  2. Open access management.
  3. Review, add or remove the users and groups you need.

Adding a user or a group works exactly as before: nothing changes in that step.

Groups containing members from other organizations

When a group contains at least one member belonging to another organization, the message “This group includes users from other organizations” is displayed in the group's details.

In Management > Groups, each member now shows their organization. For a Multi-Admin, the first organization is shown in alphabetical order followed by +N; hover over it to see the full list of their organizations.

Access inheritance

When you grant cross-organization access to a category, that access is now inherited by all of its sub-categories, just as it is for access within your own organization.

Good to know

  • Your data never leaves your environment: a category shared by another organization stays encrypted and protected at exactly the same level as your own.
  • Super Admin: visibility remains limited to the organizations where they are an administrator.
  • Multi-Admin: you see your current organization and the cross-organization categories you have access to.
  • Category manager: your rights are identical, whether the category belongs to your organization or to another one.
  • A standard user who belongs to a mixed group keeps the access granted through that group.
